Phase 1 — Assess Workflow Assessment
Before anything gets built, we need to know what's actually broken, not what looks broken from the outside. The Workflow Assessment is an objective diagnostic of how your operations actually run. We interview the people doing the work, map your core workflows end-to-end, identify where bottlenecks, delays, and unnecessary spend are hiding, and quantify what they're costing you in time and money. You walk away with a prioritized action plan, a ranked set of fixes organized by effort and impact so you know exactly what to do first. Phase 2 — Build Operations Playbook
The Assessment tells you what's broken. The Playbook fixes it. We take the findings and build the documented operating system your team needs to run consistently, without relying on institutional memory, informal workarounds, or whoever happens to know how things work. Every process is documented with clear owners, inputs, outputs, and exception rules. Every role gets a guide showing what they own and how to handle what comes at them. Every recurring judgment call gets a decision tree so your team resolves at the right level instead of escalating everything. Phase 3 — Embed Efficiency Retainer
Operational systems drift unless someone is watching them. The Efficiency Retainer embeds us as your ongoing ops partner, tracking performance, iterating processes as the business evolves, and building new workflows when new needs emerge. Think of it as a COO without the full-time headcount. This isn't a maintenance contract. It's active operational leadership. We measure what's working, fix what's drifting, and make sure every change gets documented so your team is always running the current version. What you receive each month: * Monthly ops review and efficiency scorecard: 15+ metrics tracked with a 30-day plan for anything drifting * Process iteration log: every change recorded with cumulative impact totals * New workflow design as needed: structured intake, design, and documentation integrated with your existing playbook * Stakeholder and change management guidance: maps, communication checklists, and adoption support Cadence: Monthly 60-minute ops review call plus async access between sessions.
